Countdown to Workday: July 1

Workday is a modern cloud-based enterprise providing a unified platform for HR, payroll, and financial systems and a single source for accurate information.

With our July 1 launch date rapidly approaching, the entire New York Tech community will need to take an active role in preparing for a smooth transition to our new system. This will include everything from accelerating end of fiscal year activities to additional training on new systems and processes.

Get Ready for Cutover

Cutover is the period when all the information in our legacy systems (Oracle, FACCOMP, Student Timesheet System, and NovaTime) is transferred into Workday. During this time, faculty and staff will be required to gradually reduce and eventually freeze certain types of transactions—including reorganizations, hiring, requisitions, and expense reports.

Why Are We Freezing Transactions?

Starting in mid-April, we will begin taking final snapshots of all the data in Oracle EBS and loading it into Workday. Once cutover begins, any new transactions in Oracle will need to be fully documented and manually transferred to Workday in July. To facilitate the migration of accurate content, we are instituting a series of freezes on certain Human Resources and Finance Oracle EBS transactions to minimize the need for manual entry and reduce the risk of error.

Important Freeze Dates

  • April 18 – July 15: Freeze on Student Employment Hiring. Submit all student summer employment paperwork to either your New York or Vancouver Student Employment Office before April 18.
  • May 1 – July 15: Freeze on HR transactions. Submit all organizational changes, compensation changes, hires, academic appointments, and additional secondary academic departments before May 1. Only limited critical transactions (such as life event changes, terminations and resignations, and time entry) will continue to be processed in Oracle and the other legacy systems.
  • Mid-June – July 15: Soft-Freeze on Certain Financial Transactions. Submit all requisitions, expense reports, credit card transactions, purchase orders, supplier invoices, and grant awards before mid-June, or they will not be processed until after July 15.
  • July 1: Workday Goes Live.

We will shortly be announcing an ongoing series of trainings to help familiarize you with Workday and the various tasks and new processes required for the areas of Finance, HR, Student Employment, and Payroll/Timesheets.
