Due to the cutover migration period from Oracle to Workday, many of our HR functions will be frozen beginning end-of-day April 30.
Benefits and compensation, hiring and onboarding, along with other core HR processes, are all moving over to Workday. Only limited critical transactions (e.g., life event changes, terminations and resignations, and time entry) will be processed after April 30. All other HR transactions will be frozen until July 15.
HR Freeze Deadlines
April 30:
- HR Changes. All organizational and compensation changes, new hires, academic appointments, and the adding of secondary academic departments must be submitted to HR. Only limited critical transactions (e.g., life event changes, terminations and resignations, and time entry) will be processed after April 30. All other HR transactions will be frozen until July 15.
- Updates to Personal Emergency Information. Review your emergency contact information to ensure the correct information, including a non-NYIT email address, is correct before it’s transferred into Workday. (And Long Island and New York City community: Don’t forget to pick up your new OneCard ID by 3 p.m. on April 29!)
Human Resources Functions in Workday
As of July 1, the following HR functions will be found in the Human Resource Management (HRM) module of Workday:
- Core HR Processes: This includes managing employee demographic and compensation data, onboarding new employees, and handling offboarding when employees leave.
- Payroll and Time Tracking: This involves managing payroll, tracking time and attendance, and scheduling the workforce.
- Benefits Administration: Handling employee benefits, including enrollment and administration.
Workday Absence Management:
- Time Off: Short-term absences like vacation, sick leave, jury duty, and bereavement.
- Leave of Absence: Longer-term absences for various reasons.
- Managing Absences: You can view your entitlement balances and request or manage time away from work.
Workday Hire & Onboarding:
- Creating Positions and Job Requisitions: Setting up new roles and requesting to fill them.
- Initiating Hires: Starting the process to hire new employees.
- Onboarding: Helping new employees get started with their roles.
Workday Multiple Jobs & Additional Work:
- Managing Multiple Positions: Handling employees who have more than one job.
- Additional Compensation: Managing extra pay such as stipends for faculty and staff who take on additional duties.
- Academic Appointments: Managing appointments for academic staff.
